Destruction of Records


Access to and Destruction of Records for Carthage ISD, Beckville ISD, Gary ISD

The special education department observes federal and state laws, state regulations and local policies pertaining to the confidentiality of student records. Parents (or an eligible student 18 years or older) may inspect and review records at any time. School officials with a legitimate educational interest have access to student records. The parents of a student with a disability must give written consent before a student's records can be seen by someone not involved in the student's education. If the student transfers to another school district, special education records will be sent to the receiving district without parental consent.

Effective 2018-2019, Special education eligibility and educational records will be maintained for five (5) years following the date of the last recorded action for each student served by the Special Education Department of Panola County SSA . At the end of five years, the records will be destroyed.

Parent/guardian/adult student has been informed that the District shall retain education records of students with disabilities for five years after the student's graduation or dismissal from special education.

Records with personally identifiable information are located on the campus of the school which the student attends and the Special Education Services office at 300 West Ash, CARTHAGE, TX 75633

Summer of 2018 = Destroy records dated August 2010 through May 2011       

Summer of 2019 = Destroy records dated August 2011 through May 2012       

Summer of 2020 = Destroy records dated August 2012 through May 2013

Summer of 2021 = Destroy records dated August 2013 through May 2014

Summer of 2022 = Destroy records dated August 2014 through May 2015

Summer of 2023 = Destroy records dated August 2015 through May 2016

Summer of 2024 = Destroy records dated August 2016 through May 2017

Summer of 2025 = Destroy records dated August 2017 through May 2018
